Automating reminders with Zapier

- Check: Paid? If no, send Email 3 AND create a task: "Escalate overdue invoice [number] for [client]."
This runs automatically for every invoice. You send the invoice. Everything else is handled.
Drafting escalation letters
If 30 days of automated reminders hasn't worked, you need something more formal. This might be a letter before action (the formal step before small claims court) or a referral to a debt recovery service.
Prompt to copy:
"Write a formal letter before action for a UK business. The debtor is [company name]. Invoice number: [number]. Amount outstanding: [amount]. Original due date: [date]. We have sent reminders on [dates]. Under the Late Payment of Commercial Debts Act, we are entitled to add interest of 8% above base rate plus compensation. - Invoice on the day work is completed, not the end of the month.
- Include payment links directly in the invoice where possible.
